A comprehensive guide to using and managing Consultations, Internal Meetings, and Office Work events on Evallo’s Calendar.
In addition to Session Events, Evallo’s Calendar supports three additional event types: Consultations, Internal Meetings, and Office Work. Each serves a unique purpose, ensuring that your scheduling system covers all aspects of communication, collaboration, and administrative management.
This guide explains the purpose, functionality, and differences between these event types to help you use them effectively.
Consultations, Internal Meetings, and Office Work
Consultation Events
Purpose
Consultations are designed for discussions involving tutors, students, and parents. These events are ideal for progress reviews, goal setting, or addressing specific concerns.
How to Schedule a Consultation
Go to the Weekly View of your Calendar and click on a blank time slot when you want to schedule the event (or click on the New Event button).
Select Consultation as the event type from the options in the top-left corner of the event details page.
Add details:
• Date and Time: Set the start and end time for the consultation.• Attendees: Use the Attendees dropdown to add students, parents, tutors, or admins.
• Location or Platform: Choose a location or select an online platform (e.g., Google Meet, Zoom).
• Notes: Add internal notes for your team or shared notes visible to all attendees.
Click "Schedule" to finalize the event.
Internal Meetings
Purpose
Internal Meetings are private sessions meant for team collaboration. These events help admins and tutors align on schedules, strategies, or business operations without involving external users.
How to Schedule an Internal Meeting
Go to the Weekly View of your Calendar and click on a blank time slot when you want to schedule the event (or click on the New Event button).
Choose Internal Meeting from the event type from the options in the top-left corner of the event details page.
Add details:
Participants: Use the dropdown to invite team members (admins, tutors, or owners). External users, like students or parents, cannot be added.Notes: Add internal notes to document team discussions or shared notes to outline key action items.
Click "Schedule" to confirm the meeting.
Office Work
Purpose
Office Work events are used to manage and track administrative tasks. Whether it’s reconciling sessions, managing payroll, or general admin duties, these events help you stay organized and ensure accountability.
How to Schedule Office Work
Go to the Weekly View of your Calendar and click on a blank time slot when you want to schedule the event (or click on the New Event button).
Choose Office Work from the event type from the options in the top-left corner of the event details page.
Add details:
• Members: Include team members or collaborators who will help with the task.• Description: Record the purpose of the Office Work event (e.g., "Weekly payroll reconciliation").
Click "Schedule" to log the event on the Calendar.
Common Features Across Event Types
Date and Time:
All event types require a start and end time to be set. Recurring options are only available for Consultations and Internal Meetings.Notes:
• Internal Notes: Available for all event types, visible only to team members.
• Shared Notes: Available for Consultations and Internal Meetings, visible to all attendees.Flexibility:
While Consultations allow both internal and external attendees, Internal Meetings and Office Work are primarily designed for team collaboration.
